Business Support Administrator

We are looking for an enthusiastic Business Support Administrator based in Leuven, Belgium.
What is your role?
The Business Support Administrator will be responsible to ensure the effective and efficient execution of purchasing and administrative support processes, to maintain strong relationships with sales, service, and procurement stakeholders. The role is also responsible for compliance, process improvement, and ensuring continuity through backup arrangements.
What are your key areas of responsibility?
Purchasing & Procurement Support
- Execute and update the daily MRP process; create and manage purchase orders (MRP-driven/manual).
- Follow up with suppliers to ensure timely order confirmations and accurate delivery information.
- Maintain and update delivery dates in Navision; monitor open orders and ensure commitments are met.
- Check supplier availability and lead times before placing orders.
- Actively contribute to keeping purchasing procedures up to date and aligned with best practices.
Stakeholder Communication & Collaboration
- Maintain clear and proactive communication with other departments, managing expectations and promoting collaboration.
- Ensure the Order Processing team has full visibility of all open orders.
- Set clear expectations and provide effective communication with stakeholders.
Project & Business Support
- Participate in project planning and procedure development to support the sales team.
- Facilitate workshops and perform time checks as required.
- Support the Procurement Coordinator in purchasing and procurement process tasks.
Compliance & Controls
- Identify and address process deficiencies; maintain adequate records.
- Support an effective internal control environment by following up on audit recommendations and sharing key policies with the team.
- Ensure compliance with company standards and delegated authorities.
Backup & Continuity
- Take personal responsibility for arranging backup during absences, ensuring proper handover and continuity of critical tasks.
Continuous Improvement
- Proactively suggest and drive improvements to existing procedures.
- Stay informed about relevant business and technology developments.

What are your required qualifications and competencies?
Qualifications
- Bachelor’s degree or equivalent experience.
- Proficiency in English and Dutch; French or German is an advantage.
- Strong PC skills (Excel, Outlook, Word).
- Excellent communication skills and attention to detail.
